π Reminders (this computer)
Keep the CRM open in a browser tab β it can be in the background. At the morning time you get today's plan, then an alert 10 minutes before and at each follow-up time, with an on-screen pop-up, a sound and a flashing tab title. Desktop notifications are an extra.

Each person gets their own username and password. Everyone works on the same live data at the same time. Turn a person "off" when they leave β their leads and history stay.
Who can see which leads
π₯ Bring in data from the old CRM
- Open the old CRM file on the computer where it was used β Settings β Data safety β Download full backup.
- Click Import backup file below and choose that
brain-crm-backup-β¦.jsonfile.
Safe to repeat: leads already here are never overwritten, only missing leads and missing activity entries are added. Old owner names are matched to team members (new names are added as inactive team members you can turn on later).
π§Ή Clean up entries copied into several leads
The old CRM kept the "What happened?" box filled when you opened the next lead, so a note could get saved onto the wrong lead. This finds identical notes saved on more than one lead. Tick the copies that don't belong and remove them β removed entries are hidden, not erased, and can be restored from the lead's activity history.
π‘οΈ Data safety
All data lives on your server, so every computer and phone sees the same leads. Nothing is ever erased: deleted leads go to Trash and removed notes stay restorable. The server also keeps a nightly backup (if the cron job is set up). Admins can download a full backup anytime.
